Sign Posting, Bulletin Board, and Leaflet Policy

  1. Policy Statement
    1. To minimize confusion, reduce over-posting, and maintain building aesthetics, unauthorized signs, notices, and flyers may not be posted in the Drew University Libraries. Drew students, faculty, and staff may submit signs, notices, and flyers for Drew-related events for posting on the Digital signage board at the Circulation Desk of the Library. Leaflets or other handouts may not be disseminated at any time.
  2. Purpose
    1. This policy and associated procedures offer guidance for Library staff, Academic Commons partner offices, and the wider Drew community for posting signs, notices, and flyers in designated areas. 
  3. Audience
    1. All Drew University students, faculty, staff, and Academic Commons (AC) staff.
  4. Procedures
    1. Drew students, faculty, and staff may submit digital versions of signs, notices, and flyers for Drew-related events to the Library for posting on the “Drew Campus” board in the Learning Center lobby. The following outlines the process:
    2. Drew Community Members can submit digital files through the Library Digital Signage Form. Images will display best at a 16:9 aspect ratio (1280×720 px) and in PNG or PDF formats.
    3. Only 1 item per event may be submitted. Unauthorized items posted elsewhere in the Library, or on the Library’s exterior, will be removed.
    4. Items may not violate existing policies or rules. Academic Commons (AC) staff may post flyers, signs, and notices for events being held in the Library building as follows:
      1. In plastic holders attached to the glass walls of the Digital Humanities Room and the Library-UT Classroom to advertise events sponsored by AC units being held in that room.
      2. On the doors to their work areas at the unit’s discretion.
    5. Printed items may be posted on the front doors of the Libraries at the discretion of the Head of Circulation or the Head of Special Collections.
    6. Items may not be posted by any AC staff in any areas or on any other surface other than on unit doors, in the plastic holders attached to the glass walls of the Multi-Purpose Room and the Library-Tech classroom unless the approval of Library Administration is obtained.
    7. Drew University-related pamphlets may be placed on service counters at the discretion of the area’s department head. Materials should be delivered to the Circulation Desk for approval.
  5. Consequences of Violating this Policy
    1. Unauthorized posters and flyers will be removed by library staff.
